Executive Administrator and Risk Manager

The Executive Assistant and Risk Management position will be responsible for performing an array of administrative and operational functions in this multi-faceted position, requiring confidentiality, initiative and sound decision making for the President and his team. The position provides high-level administrative and legal support while also offering operational assistance by performing such functions as preparing correspondence, answering phones, arranging conference calls, preparing reports, cross training in various positions to assist with customer influx, handling information requests, travel arrangements, handling all aspects of Risk Management, licensing and scheduling meetings for the President of the company. In addition, provides sincere service through actions that display self-confidence and courtesy to guests and colleagues alike.

Duties and Responsibilities Include:

  1. Responsible for heavy calendar management, requiring interaction with both internal and external customers to coordinate a variety of complex meetings and schedules
  2. Provides administrative support in the preparation of correspondence, reports, snow condition reports, scheduling of meetings, confidential materials sensitive issues
  3. Orders administrative supplies, manages supply expenses and maintains office and meeting area in an organized and professional manner including supplies nd equipment storage areas
  4. Applies for and manages all licenses, permits, memberships and required industry reports. This includes Liquor Licenses, Amusement Device Permits, Local and State Health Permits, Ski Area Membership, Weather Reporting Membership, NSAA & ISKI NY yearly reports, tent permits, SRBC Water withdrawal reporting, DEC Reporting, and any other special permits required
  5. Coordinates activities as directed by President, provides meeting minute documentation to appropriate parties, and may coordinate reservations for both internal and external events
  6. Implements and maintains filing system, both paper and computer on all risk management incidents, legal issues and maintenance. Timely and proficiently follows up on all incidents to ensure policy and procedures are compliant
  7. As a Risk Manager you’ll be responsible for managing the risk to the organization, its employees, customers, reputation, assets and interests of stakeholders. This includes identifying and assessing threats, put plans in place if things go wrong and decide how to avoid, reduce or transfer risks
  8. Trains in other areas of the resort in order to be able to assist with customer service needs during peak times. Creates and manages the Manager on Duty schedule for winter season. Provides assistance and support to the other departments as needed
  9. Answer phones and takes messages appropriately, timely and professionally
  10. Communicate and handle incoming and outgoing electronic communication on behalf of the President as directed
  11. Designs and assembles both written and electronic general correspondences, memos, charts, tables, graphs, business plans and reports which may contain highly confidential and sensitive information as directed
  12. Proactively support coordinating special projects, high-level meetings (both internal/external) as directed
  13. Assist with preparing presentation materials for meetings, as well as, coordination and communication with members of the team. Maintains positive relationships with team
  14. Is able to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
  15. Manage other tasks and responsibilities as assigned by President
  16. Manage domestic travel arrangements including detailed agendas/itineraries and expense reporting as directed
  17. Attends departmental and other meetings as required taking notes for President
  18. Handles all company vehicle registrations and insurance. Keeps accurate files
  19. Complies with Liability and Property Insurance renewal participation yearly
  20. Is responsible for radio and key inventory, control and licensing
  21. Complies with all company policies and procedures
  22. Prefer someone with the knowledge or ability to ski or snowboard at an intermediate level in order to perform Risk Management related duties on the Mountain

Associates Degree and three years of direct administrative experience or five years direct experience in an administrative position that provides direct support to an executive.
